Offer delegates a complete package from event registration to hotel booking

Conferences especially out of town conferences are both a joy and a curse for delegates planning to attend. Joy because the delegate has a chance to explore a new destination and Curse as he has to search and book hotel accommodation in addition to registering for the conference. Prevent this mix of sentiment from affecting your attendance numbers by offering delegates a complete package i.e. enable them to register for the conference and book hotel accommodation simultaneously.

Offering hotel accommodation during the registration process is not as complicated as it sounds. Yes, you will need to collaborate with a hotel or two located near your conference venue. This collaboration and negotiation probably take up some amount of time but it will earn you gratitude from delegates.

Once you get a list of rooms available and their rates, the rest is easy. Log into your EventAvenue M.A.R.S. account and begin configuring your conference. Take the normal steps:

  Enter all relevant information in the Event Info section.
  Enter all relevant information in the Event Info section.
  Select which currencies you wish to offer delegates.
  Enter your event bank details.
  Configure the different registration types.
  Select what personal information you wish to collect by checking the standard options.
  Create a custom field to collect other information if necessary.
  Enter your conference agenda for the delegate's perusal.

Once you set the conference's agenda, you need to take one more step to add a hotel accommodation option to your online event registration page. Click on the Save and Continue button at the bottom of the Agenda page and you will be transferred to the Other Fees section.

To add a hotel/room type, click on the Add Other Fee button. The Add / Edit Other Fee page will open. On this page, you will have to define the room type, the rate, the number of rooms bookable per attendee etc. Then, click on save. Congratulations! Your hotel/room type is configured. Delegates registering for your conference will also be able to book hotel accommodation.

Please note in case of multiple hotels or room types, you will have to configure each hotel and room individually.
